Guidelines for the Use of Archival and Special Collections Material

The archival and special collections of the North Country represent unique and often irreplaceable resources preserved for scholarship, research, and learning. Archives and special collections require special care in their use. The Board of Trustees of the Northern New York Library Network has promulgated these guidelines in recognition of the importance of these vital regional materials.

Use

  1. All archival material is considered fragile: researchers are personally responsible for careful handling of all special materials. Pages must be turned carefully, no marks may be made on any items, and no use of fasteners, rubber bands, or paper clips is allowed. The existing order of all unbound materials must not be changed.

  2. Pencils only may be used for note taking; pens and markers may not be taken into the special collections area.

  3. Eating, drinking, smoking, and gum or tobacco chewing are prohibited.

Security

  1. No material may be removed from the collection by the user under any circumstances.

  2. Positive identification may be requested of users by the special collections staff. Staff may request researchers to sign in and sign out and state their topic of inquiry.

  3. Users of special collections may not be allowed to bring book bags, briefcases, purses, coats, or similar items into the special collections area. If such items are permitted, they are subject to subsequent inspection.

Duplication, Reproduction and Publication

  1. Materials may be available for photocopying if that process will not cause damage. Archives staff will determine local photocopying procedures. Fees may be levied for photocopying.

  2. Tracing, photocopying, or other duplication activities are prohibited without the specific approval of the archives staff.

  3. Written permission of the archives or special collections institution is required for publication. It may also be necessary to obtain permission from the holder of the literary copyright.
